Volunteer Coordinator

The main duties of the Volunteer Coordinator include but are not limited to:

1.Preparing a weekly schedule of required volunteer roles for the school in consultation with the Program Manager. 

2.Developing a proactive process of assigning roles to volunteers in the school on a weekly basis.

3.Advertising available volunteer roles every week within the Horizon Academy community and especially among parents and guardians of all students.

4.Assigning volunteers to specific roles in the school every week and, where possible, accommodating such request as may be received for specific roles by volunteers.

5.Ensuring that all required volunteer roles in the school are filled every week. Insure any outdoor recess or activity is well covered and all safety measured are followed. 

6.Ensuring that volunteers take up the roles assigned to them and that volunteers are adequately supervised every week and understand their rule and expectations

7.Continuously recruiting volunteers to join the school’s volunteer pool and to join such specific areas of need as may be required by the Program Manager.

8.Promoting volunteering in and with the school and developing a volunteer recruitment and retention program for the school.

9.Developing a volunteering vision for the school. 

10.Developing short term and long-term best practices for improving the school’s volunteer system.

11.Reviewing and implementing the school’s volunteer policies and guidelines.

12.Proposing updates to the school’s volunteer policies and guidelines to the Program Manager.

13.Taking up unfilled volunteer roles in the school as may be needed from time to time. 

14.Maintaining and regularly updating a volunteer list for the school.

15.Keeping accurate and consistent records of the total number of days each family volunteers during the school year.

16.Preparing an end-of-session a monthly report for the Program Manager / Accountant department, and final report no later than two weeks after the last day of school, showing the names/emails of the families that have fulfilled the required volunteer days for the school year as well as the number of days that each family volunteered during the school year. 

17.Reviewing and responding to emails and other correspondence related to volunteering in the school.

18.Addressing all volunteer-related matters in the school and bringing all volunteer-related issues that the Volunteer Coordinator could not resolve to the attention of the Program Manager. 

19.Reporting to the Program Manager on the school’s volunteer program as needed and, in any event, no less than two times every month.
